Terms and Conditions
Partnership Notice
BozAround Private Travel operates in partnership with 360 Private Travel. This partnership allows us to provide our clients with preferential rates, exclusive benefits, added value, and insider access. By working with 360 Private Travel, BozAround Private Travel is able to offer a highly personalized travel planning and management service, supported by robust financial protection for all your bookings.
Please note: all payments will be made via 360 Private Travel to ensure you receive the financial protection and benefits mentioned above, unless otherwise stated. The terms and conditions for your booking are therefore governed by those of 360 Private Travel as outlined below, unless otherwise stated in your confirmation.
Introduction:
We are 360 Private Travel Ltd.
- References to “you” and “your” mean all persons on the booking (including anyone added or substituted at a later date).
- References to “we,” “us,” and “our” mean 360 Private Travel Ltd.
- The terms “package” and “lack of conformity” have the same meaning as in the Package Travel and Linked Travel Arrangements Regulations 2018.
Where we have organized a package on your behalf, we will refer to it as “your package(s).” Where our supplier has organized a package, we will refer to it as a “supplier’s package(s).”
1. Contract
These are the terms on which we will make a booking for your travel or holiday requirements.
When making your booking, we will arrange for you to enter into a contract with the principal(s) or other supplier(s) (e.g., tour operator, airline, villa company, cruise company, accommodation provider) named on your confirmation.
- For many bookings (including villa rentals, private yachts, and all travel services within the EU), the principal’s or supplier’s Terms & Conditions will apply to your booking. Please read these carefully as they contain important information. Copies are available on request.
- If you have booked a package, you will receive standard information about your package arrangements and details of their main characteristics before a binding agreement comes into existence.
That information, these booking conditions, the supplier’s booking terms, and any other written information provided before your booking confirmation form the basis of your contract with us.
By making a booking, you agree to be bound by all of them.
Key Terms of Our Agreement
- You enter into a binding contract with the principal(s) or supplier(s) named on your confirmation once we issue a confirmation statement. Cancellation charges will apply, ranging from your deposit to up to 100% of the cost depending on the timing of cancellation.
- You may request changes to your confirmed arrangements in certain circumstances. An administration charge will apply.
- Principals or suppliers may make changes or cancel your arrangements. If so, you may be entitled to compensation in certain cases.
- Principals or suppliers are responsible for ensuring your arrangements are not performed negligently, subject to limits and exceptions.
2. Booking Details
Once you have paid and confirmed your reservation, we will proceed to confirm the booking on your behalf with the principal(s) or supplier(s). Please check that all names, dates, and timings are correct on receipt of all documents and advise us of any errors immediately. Changes to these details may incur charges. Ensure that the names given match those in the relevant passport.
The booking information you provide will be passed on only to the relevant suppliers or other persons necessary for providing your travel arrangements. This information may also be shared with public authorities (e.g., customs, immigration) or as required by law. This includes sensitive information such as disabilities, dietary needs, or religious requirements. For U.S. travel, U.S. Customs and Border Protection may access this information for security purposes.
If we cannot pass this information to suppliers, we will be unable to process your booking. By making this booking, you consent to this information being passed on. Full details of our data protection policy are available on request.
3. Payment
- A deposit of 20–30% of the total price of your arrangements is required at the time of booking. Deposits are non-refundable.
- In certain cases (e.g., villa rentals, cruises, peak season flights), a higher deposit may be required.
- If your booking is made within 10 weeks of departure, full payment is due immediately.
- Approximately 12 weeks before departure, you will receive a Final Request for Payment of the balance due.
- If the balance is not paid at least 8 weeks before departure, we may cancel your booking and apply cancellation charges.
Additional deposits for upfront costs (such as flight payments) may also apply. These are also non-refundable.
4. The Cost of Your Arrangements
We reserve the right to amend the price of unsold holiday arrangements and correct errors in confirmed prices.
Packages:
The price of your confirmed package may vary due to:
- Fuel costs or power sources.
- Taxes or fees imposed by third parties (e.g., tourist taxes, landing fees).
- Exchange rate fluctuations.
You will be notified of any increase or decrease no later than 20 days before departure. If the increase exceeds 8% of your total price, you may cancel and receive a refund.
Non-Packages:
For non-package bookings, price increases may occur at any time prior to departure. You will be liable for these in full.
5. Special Requests, Disabilities, and Medical Conditions
If you have any special requests, you must advise us at the time of booking. We cannot guarantee that such requests will be met. Confirmation that a request has been noted does not constitute a guarantee.
If you or a member of your party has a disability or medical condition that may affect your arrangements, provide full details before booking. If we cannot accommodate your needs, we will not confirm your booking. If you fail to provide this information at the time of booking, cancellation charges may apply.
6. Cancellation and Amendment by You
If you wish to change or cancel your booking after confirmation:
- Amendments must be requested in writing at least 2 weeks prior to departure.
- Suppliers may charge cancellation or amendment fees (up to 100% of the cost).
- A £50 administration fee per booking applies for all amendments.
- For flight-inclusive bookings, airline charges will apply. Many airlines prohibit name changes after tickets are issued.
If you cancel after departure, no refunds will be issued.
7. Cancellation and Amendment by Us
We reserve the right to make changes or cancel your arrangements.
- Insignificant changes will not entitle you to compensation.
- Significant changes (e.g., change of accommodation standard, flight time changes reducing your trip by 24+ hours, departure airport changes, cost increases over 8%) give you the right to:
- Accept the changed arrangements.
- Cancel for a full refund.
- Accept alternative arrangements, if available.
You must notify us of your choice within 7 days. Compensation may apply unless the change was due to unavoidable circumstances.
8. Unavoidable and Extraordinary Circumstances
We will not be liable, nor provide compensation, for disruptions caused by events beyond our control, including war, terrorism, riots, government actions, natural disasters, pandemics, or severe weather.
9. Our Responsibility to You
Packages
We accept responsibility as an “organizer” under the 2018 Regulations. If a supplier fails to provide services as agreed, we will take reasonable steps to remedy the issue or provide compensation.
Agency Bookings
Where we act solely as booking agent (e.g., EU travel services), we are not responsible for the performance of suppliers.
Limitations
We are not liable for:
- Services not forming part of your contract.
- Issues caused by your own actions or third parties beyond our control.
- Business-related losses.
Any claims will be subject to limits consistent with international conventions (Warsaw/Montreal for air, Athens for sea, Berne/Cotif for rail, Paris for hotels).
10. Insurance
We strongly advise all travelers to take out adequate travel insurance. Many suppliers require it as a condition of booking. Insurance should cover cancellation, accidents, repatriation, baggage loss, and medical emergencies.
If you travel without insurance, we will not be liable for losses that would otherwise be covered.
11. Financial Protection
All packages arranged by us come with financial protection:
- UK ATOL Protection (No. 7514): Covers flight-inclusive packages.
- If a supplier becomes insolvent, you may receive a refund or alternative arrangements.
12–21 Additional Conditions
- Documents: Sent by First Class post; we are not liable for loss after dispatch.
- Final Travel Arrangements: Ensure passports, visas, and insurance are in order.
- Flights: Timings may change; reconfirm with your airline.
- Delays: Airlines are responsible under EC Regulation 261/2004.
- Complaints: Must be reported immediately to the supplier and confirmed in writing.
- Passports/Visas/Health: Travelers are responsible for compliance.
- Suppliers: Independent supplier terms may apply.
- Behavior: Inappropriate conduct may result in termination of your arrangements without refund.
- Excursions: Third-party excursions are not part of our contract.
